Pre-Opening Setup and Morning Briefing
Mission
Make the Booth Ready
Before the first visitor arrives, the booth should look open, clean and ready for conversation.
SET UP → BRIEF → OPEN
Do not wait for visitors to find missing cables, dead screens or unclear roles.

Check the Physical Booth
Confirm the booth looks ready from the visitor’s side.
- Booth clean
- Surfaces ready
- Rubbish removed
- Materials arranged
- Gifts stocked
- Personal items stored
- Visitor area clear
Remember
Personal items should not be visible on the booth. Use lockers or another agreed storage place.
Check the Technical Setup
Confirm the tools work before the booth opens.
- Demo computers powered
- Expected accounts logged in, where appropriate
- Demo environment ready
- Network working
- Chargers and power ready
- Displays working
- QR codes working
- Lead-capture process tested
If something is not ready, say it before the doors open. The team needs to know what is usable and what is not.
Confirm the Team Setup
Before opening, everyone should know their role and who to ask for help.
- Sales confirmed
- Booth Operations confirmed
- Presales confirmed
- Booth Lead known
- Break coverage understood
- Scheduled meetings known
- Important visitors known
- Language coverage known
- Escalation contacts known
- Event-specific issues known
Remember
Know your role. Protect the booth as a team.
Keep the Morning Briefing Short
The morning briefing is not a meeting for long discussion. It is a readiness check.
Confirm:
- Who is Sales today?
- Who owns Operations today?
- Who is Presales today?
- Who is Booth Lead?
- Who covers breaks?
- Which meetings are scheduled?
- Which visitors matter today?
- How do we capture leads?
- Is the demo ready?
- Which languages do we cover?
- What changed since yesterday?
- What happens if someone needs help?
Everyone should be able to answer:
“What happens if I need help?”
Make Escalation Clear
If a visitor needs help you cannot give, do not improvise. Know who to involve.
| Situation | Confirm before opening |
|---|---|
| Commercial question | Who handles Sales? |
| Product or demo question | Who handles Presales? |
| Lead-capture issue | Who owns the process? |
| Language issue | Who can support? |
| Scheduled visitor arrives | Who receives them? |
| Unknown issue | Who is Booth Lead? |
Test Lead Capture Before Visitors Arrive
Lead capture must work before the first real conversation.
Check:
- Capture device or app opens
- Correct event/project is selected
- Backup process is understood
- Team knows who captures
- Team knows where notes go
Remember
A captured contact is useful only if the next step is clear.
Be Ready for Busy Moments
A clean booth can become messy fast.
Before opening, agree:
- who stays visible at the front;
- who watches materials and gifts;
- who can step into extra conversations;
- who covers breaks;
- how to keep scanning or noting visitors when several people arrive at once.
Rush Mode
Shorten conversations if needed, but do not lose capture, handover or follow-up.
Use Quiet Time Well
Quiet periods are useful if the booth stays covered.
FOLLOW UP → NETWORK / EXPLORE → RESET
Use quiet time to tidy the booth, restock materials, review follow-ups and confirm coverage before anyone leaves.
Side Quest
Visit relevant exhibitors or observe competitors only when booth coverage is agreed.
